1. Agreement and relationship to your service contract
The Customer Portal is operated by SIT Technology Limited, trading as SIT Recycling (“SIT Recycling”, “we”, “us” or “our”). These Portal Terms apply to every individual who is issued or uses a portal account (“Authorised User”) and to the customer, donor or approved community organisation on whose behalf that person acts (“Organisation”).
The portal supports, but does not replace, the Customer’s quotation, order form, statement of work, data processing agreement or other service contract. If there is a conflict, the written service contract takes priority for the relevant services, assets, processing, charges, service levels, liability and retention.
Back to top2. Access approval and organisation assignment
Portal accounts are issued through SIT Recycling's existing WordPress account process. Signing in proves control of the account credentials; it does not by itself grant access to any customer, project, asset, certificate or report. SIT Recycling must verify the user's authority and assign the account to the correct organisation before project records become available.
The Customer must provide accurate identity, work contact, organisation and project-reference information when requesting access. We may request further evidence of authority and may refuse, delay or withdraw access where identity, authority, organisation assignment, security or contractual status cannot be verified.
One account must belong to one named person. Shared accounts are not permitted.
Back to top3. Account security
Each Authorised User must:
- keep credentials confidential and use a strong, unique password;
- not permit another person to use the account;
- sign out of shared devices and protect downloaded records;
- notify SIT Recycling promptly of suspected compromise, phishing, incorrect access or unauthorised disclosure; and
- keep their work email, role and organisation details current.
The Customer must tell us promptly when a user changes role, leaves the organisation or no longer requires access. The Customer remains responsible for activity carried out by its Authorised Users except to the extent caused by our breach.
Back to top4. Permitted use and restrictions
You may use the portal only for the Organisation’s legitimate internal project, compliance, audit, finance, sustainability, social-impact and support purposes. You must not:
- access or try to access another organisation’s records;
- share portal content with a person who is not authorised to receive it;
- alter, falsify, remove provenance from or misrepresent a report or certificate;
- use automated scraping, bots or bulk extraction without written permission;
- upload malware or unlawful, infringing or unnecessary sensitive material;
- circumvent access controls, rate limits, download controls or security testing restrictions; or
- use portal data to cause harm, discriminate unlawfully or violate privacy or confidentiality duties.
5. Project records and evidence
The portal may display planned and completed collections, chain-of-custody milestones, asset counts, data-erasure or destruction status, reuse, refurbishment, recycling, value-recovery information, exceptions, waste records and downloadable evidence.
Social-impact dashboards display only outcomes recorded against the verified organisation. They are operational summaries, not independent assurance, grant evidence or a promise of future support. Beneficiary identities and sensitive referral evidence must not be included in a customer-facing impact export.
Operational status may change as assets are received, reconciled, tested and processed. Preliminary counts, estimated values and in-progress statuses are not final. The final signed certificate, approved asset register, settlement statement and contractual project record take priority over a dashboard summary.
The Customer should download and retain records required for its own legal, tax, audit, security and governance obligations. The portal is not the Customer’s sole records archive unless a written service contract expressly says otherwise. Report any discrepancy promptly so it can be investigated.
Back to top6. Confidentiality and customer data
Portal records may contain confidential commercial, security, asset, personnel or environmental information. Each party must protect the other party’s confidential information and use it only for the permitted purpose, subject to the service contract and applicable law.
SIT Recycling handles portal account data as described in the Privacy Notice. The parties’ roles for personal data contained in customer assets, uploaded documents and service records are governed by applicable data-protection law and the relevant service contract or data processing agreement.
Back to top7. Information uploaded or submitted by users
The Customer retains its rights in material it uploads. The Customer confirms that it has authority and a lawful basis to provide that material. The Customer grants us a limited right to host, copy, scan, use and disclose the material only as necessary to operate the portal, provide contracted services, protect security, investigate issues and comply with law.
Do not upload passwords, payment-card data, unnecessary special-category data or unrelated records. We may quarantine or remove material that presents a security, legal or operational risk.
Back to top8. Availability, maintenance and support
We take reasonable steps to operate the portal securely and reliably. Unless a written service contract states a specific service level, the portal is provided on an “as available” basis and may be interrupted for maintenance, upgrades, security response, hosting incidents or circumstances beyond reasonable control.
We may change portal features where reasonably necessary, provided this does not remove a material contracted service without addressing it under the relevant service contract. Support requests may be logged and retained for security, audit and service management.
Back to top9. Suspension and termination
We may suspend or restrict an account where reasonably necessary to investigate a security incident, protect another customer, respond to unlawful use, enforce these terms, manage overdue contractual status or comply with law. Where appropriate, we will notify the Customer and restore access after the risk is resolved.
Access may end when the Authorised User’s authority ends, the Customer requests removal, the applicable service contract ends or records reach their retention limit. Provisions concerning confidentiality, intellectual property, records already downloaded, liability and governing law continue where their nature requires.
Back to top10. Intellectual property
We and our licensors retain rights in the portal software, design and underlying materials. Subject to these terms and the service contract, the Customer receives a limited, non-exclusive, non-transferable right for its Authorised Users to use the portal during the authorised access period.
Customer-specific reports and certificates may be copied and shared for the Customer’s legitimate internal governance and with auditors, regulators, insurers or advisers who are authorised and bound by appropriate confidentiality duties.
Back to top11. Responsibility and liability
Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
Liability for ITAD services, customer assets, data processing, evidence, charges, service levels and value recovery is governed by the written service contract. To the extent a claim relates only to free portal access and is not addressed by that contract, we are not liable for indirect or consequential loss, loss of profit, revenue, anticipated savings, goodwill or business opportunity. Nothing in these Portal Terms limits mandatory statutory rights.
Back to top12. Changes, law and contact
We may update these Portal Terms for legal, security, operational or service changes. We will give registered users reasonable notice of a material change where practicable. Continuing to use the portal after the effective date means the updated terms apply; if the Customer objects, it should stop portal use and contact us.
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction for business users, subject to any different dispute provision in the service contract.
Questions, access changes and security concerns may be submitted through our contact page or by calling 07459 076145. For a suspected account compromise, contact us promptly and do not include passwords in your message.
